Honest assessment
Is QuickBooks worth it in 2026?
Short answer: for most US businesses with an accountant and a payroll, yes. For a five-invoice freelancer, no. Here is the evidence behind both answers, including the complaints you will not see on the vendor's site.
Worth it if you need payroll, inventory, or a CPA who works in it daily. Not worth it if your books are simple, your budget is tight, or your accountant prefers another platform. The software is strong; the billing and support experience is where people leave.
The good
What owners consistently praise
- Depth without a manual. The features people complain about losing when they switch — job costing, class tracking, inventory, reports — are exactly what keeps them from leaving.
- The accountant handoff. An accountant login on every paid plan, and a tax workflow their software already reads. At year end this saves hours on both sides.
- One login for money in and out. Invoicing, payments, payroll and time tracking in a single place beats three tools that each need reconciling.
- Bank feeds that actually work. Thousands of supported institutions and a rules engine that improves with a little correction in the first month.
The bad
What owners complain about
- Annual price increases. Plus has moved from $90 to $140 since 2023. Budgets get rewritten every summer, and long-standing customers are not grandfathered.
- Support quality. Long phone waits and heavy reliance on automated chat. Reviewers describe spending an hour to reach a person who cannot fix the issue.
- Upselling inside the product. Prompts for add-ons and higher tiers appear where you are trying to do routine work.
- Seat limits that force a jump. Going from three users to four can move you from $85 to $140 a month — a $55 jump for one login.
- Payments friction. Some owners report holds and verification delays on large or unusual transactions, which is stressful when it is your operating cash.
Why review scores disagree. Consumer review sites score QuickBooks very low — around 1.1 out of 5 on Trustpilot, as NerdWallet reported in its 2026 review — while professional review platforms sit around 4 out of 5, and TrustRadius rates it about 8.1 out of 10. Both are real. People who use it daily for accounting work rate the tool; people who interact with billing and support rate the company. Read complaints as information about the service, not the software.
Fit
Who should buy it, and who should not
Buy it if…
- Your CPA or bookkeeper already works in it
- You run payroll for 3+ employees
- You hold inventory or bill by project
- You want one system for invoices, bills, payroll and reports
- You can absorb an annual price increase without changing plans
Do not buy it if…
- You send a handful of invoices a month and nothing else
- Four or more people need logins on a fixed budget
- Your accountant actively prefers another platform
- You need offline access on an unreliable connection
- You mainly need invoicing UX and nothing deeper
If it is not the right fit
Where to look instead
| Your situation | Better starting point |
|---|---|
| Four people need logins, tight budget | Xero — unlimited users on every plan |
| Service business, invoice-heavy | FreshBooks — best invoicing experience |
| Very simple books, cost first | Wave — free core, paid bank feeds |
| Heavy warehouse inventory | QuickBooks Desktop Enterprise, or a dedicated stock system |
| You pay only contractors | QuickBooks Simple Start, no payroll subscription |
Judge it on your own books

Buyer questions
What people ask before deciding
What do people dislike about QuickBooks Online?
Three complaints dominate 2026 reviews: yearly price increases, support quality (long waits and heavy use of automated chat), and aggressive upselling inside the product. None of these are dealbreakers for everyone, but they are real and you should price them in.
Is QuickBooks Online good for a very small business?
Yes if you need proper books, an accountant handoff, or payroll. No if you send five invoices a month and mostly need a tidy record — a free or entry-level tool will do that for a fraction of the cost.
Is QuickBooks secure?
It is a mainstream cloud platform with encryption in transit and at rest, role-based access and audit trails, and it is widely used by accounting firms. Your practical risk is usually account hygiene — shared logins, no 2FA — rather than the platform itself.
