Small business bookkeeping without the guesswork
Every QuickBooks question an owner actually asks — what it costs, which plan fits, how to set it up in a week — answered on one page, in plain English. No sales call, no 40-minute demo video.
QuickBooks Online costs $38 to $340 per month in the US (list prices, October 2026): Simple Start $38, Essentials $85, Plus $140, Advanced $340. It includes a 30-day free trial, payroll is a separate subscription from about $50/month, and a one-person service business almost always starts on Simple Start.

2024 is the last version of Pro and Premier. Here is what stays, what lapses, and how to move cleanly.
Desktop vs OnlineWhy this matters
Most owners are not bad at bookkeeping. They are just busy.
The average owner spends the better part of a working day each month on receipts, invoices and reconciliation — and still cannot answer "what did I actually make in March?" without opening four tabs.
The fix is rarely more effort. It is a system that captures the numbers as they happen: a bank feed that matches itself, invoices that chase payment for you, and a monthly close you can finish in an afternoon instead of a weekend.
- 6 in 10 owners spend more than 10 hours a month on bookkeeping tasks.
- 1 in 5 say they do not know enough about bookkeeping to trust their own numbers.
- 82% of small business failures are tied to poor cash management.

Before: a spreadsheet and a shoebox
Numbers arrive late, categories drift, and tax season starts with three weeks of cleanup.
Week one: sort the plumbing
Bank feed, chart of accounts, opening balances. Three hours, done in the right order.
Month two: it starts paying back
Categorized automatically, reconciled weekly, and a P&L you can read without translating it.

What you actually get
Features that matter to an owner — not a feature list written for accountants
You do not need 400 features. You need six things to be reliable. Here is how the day-to-day work holds up in 2026.
Rule of thumb: pick the plan by users and inventory, not by reports. Reports improve with every tier, but a plan that cannot hold your stock or your second login will cost you a rebuild.
Bank feeds that mostly match themselves
Thousands of connected banks and a rules engine that learns your regulars. Expect a handful of corrections a week, not a shoebox at year end.
Invoices that chase themselves
Automatic reminders, card and bank payment links, and a status you can check before you send a second awkward email.
Payroll without a second system
Optional add-on that files federal and state taxes and keeps payroll journals in the same ledger — which is where most spreadsheet disasters start.
Reports you can read on a phone
P&L, balance sheet and cash flow at a glance, plus a mobile app for snapping receipts and sending invoices from a job site.
An accountant door that opens
Invite your CPA with their own login at no extra cost. Around four in five US accountants work in this platform daily, which is why the handoff is short.
An ecosystem that ends the copy-paste
750+ integrations — Shopify, Square, Stripe, Gusto, Bill.com, time trackers — so the same number does not get typed into three places.
Where to start
Three doors. Pick the one that sounds like you.
I work alone and invoice clients
You need clean records, an easy invoice, and a tax return that does not terrify you. Start here before you look at payroll.
Freelancer route GrowingI have a team and my plan feels wrong
Someone needs a login, or you started holding stock, or projects need their own profit line. Four questions will tell you the tier.

What owners praise, and what they complain about
We would rather you chose the right tool than clicked our link. Here is the 2026 picture from review sites and owner forums, without the marketing filter.
Holds up well
- Depth most competitors still lack
- Accountants expect it, so handoffs are short
- Payroll, payments and time in one login
- Mobile app for receipts and invoicing
Genuine friction
- Price rises almost every year
- Support waits, heavy on chat bots
- Upsells inside the product
- User limits that force a tier jump

Questions owners ask before they commit
How much does QuickBooks Online cost in 2026?
US list prices are $38/month for Simple Start, $85 for Essentials, $140 for Plus and $340 for Advanced. Essentials, Plus and Advanced went up on 1 August 2026; Simple Start did not move. New accounts usually see an introductory discount for the first few months, then the list price applies — so budget on the list price, not the promo.
Is there a free trial?
Yes. Intuit advertises a 30-day free trial on QuickBooks Online, and you can cancel before it ends without being charged. If you are testing whether your bank feed and chart of accounts work for your business, 30 days is enough to find out — see our 7-day setup plan for the order to do things in.
Which QuickBooks plan does a one-person business need?
For most solo owners, Simple Start ($38/month) is enough: invoicing, bank feeds, expense tracking and basic reports for one user plus your accountant. Move up only when you need more logins, bill management, or inventory. Our 60-second plan finder answers this against your actual answers.
Does QuickBooks Online include payroll?
No — payroll is a separate subscription that sits alongside your accounting plan. QuickBooks payroll starts around $50/month plus a per-employee fee, and the per-employee part is what usually surprises people. Our payroll cost breakdown shows the maths for a 1–10 person team.
Can I still buy QuickBooks Desktop?
Intuit stopped selling new Pro, Premier and Mac subscriptions to new customers after 30 September 2024, and 2024 is the final version of that line. Existing subscribers can keep renewing it, and QuickBooks Desktop Enterprise is still sold. If you are starting fresh in 2026, Online is the practical choice — our migration guide covers the switch.
Do I need an accountant to use QuickBooks Online?
No. Most owners run their own day-to-day bookkeeping and invite their accountant in at month end or year end — every paid plan includes accountant access at no extra cost. Accountants do save time on cleanup and tax filing, but they are not a prerequisite for getting started.
