QuickBooks vs Xero vs FreshBooks vs Wave
The honest version: each of these wins on a different axis, and picking the wrong one usually costs more in accountant time than it saves in subscription fees.
Choose QuickBooks if a US accountant will touch your books, you need payroll, or you hold inventory. Choose Xero if several people need logins at a fixed price and your payroll lives elsewhere. Choose FreshBooks if you are a service business that lives inside invoices and time. Choose Wave if the business is genuinely simple and cost is the deciding factor.

QuickBooks
Where it wins, and where it costs you
QuickBooks is the default for a reason: depth, the accountant network, and payroll that actually files taxes. It is also the most expensive option here and the one most likely to raise your bill next summer.
Choose it when
- Your CPA already works in it
- You need US payroll in one place
- You hold stock or bill by job
- You want the widest app ecosystem
Skip it when
- Four people need logins on a budget
- You send five invoices a month
- Your accountant prefers another platform
- You cannot absorb a yearly price rise
Test the default first
If your accountant works in QuickBooks, the tie-break is already made. Thirty days is enough to see whether the day-to-day fits your business.
How to decide in five minutes
-
Ask your accountant what they work in
This single answer outweighs every feature comparison. A platform your preparer knows saves hours at year end; a cheaper one they have to learn costs more than the subscription difference.
-
Count the logins, not the features
If three people need access, QuickBooks Essentials is $85 while Xero's entry tiers include unlimited users. If it is just you, that advantage disappears entirely.
-
Decide whether stock is involved
Real inventory narrows the field fast. QuickBooks Plus and above handles it properly; FreshBooks and Wave are not built for it, and Xero needs a paid add-on for depth.
-
Price payroll before you commit
Payroll is where the real monthly cost lives. Compare the total — plan plus payroll plus per-employee fees — rather than the headline accounting price.
-
Run the trial on real transactions
Connect your bank, categorise a week, and produce the one report you actually read. Every platform looks fine in a demo; your own messy data is the honest test.
Comparison questions
Asked before switching
Is Xero better than QuickBooks?
For teams, Xero is often better value because every plan includes unlimited users. For US tax and payroll work, QuickBooks is usually smoother because more US accountants and tax tools are built around it. Neither is universally better — the deciding question is who prepares your return.
Is Wave really free?
Wave's accounting core is free, but automated bank feeds and receipts are now part of a paid tier, and support is limited on the free plan. It suits very small, simple businesses; it is not a substitute for inventory, job costing or US payroll.
Can I switch accounting software mid-year?
Yes, and the cleanest moment is the start of a new fiscal quarter. Export your trial balance, open invoices and customer list, set opening balances in the new tool, and keep the old subscription active for one month in case you need to look something up.
